The challenge
Prinsenstad Makelaardij in Delft had eight years of client files in Kolibri, the agency’s CRM. People who once bought or sold a home through you already know you. Still, the list sat unused.
It needed sorting out first. Relations past their retention period, addresses with typos, names that didn’t match the email address, assignments not linked to anyone. Buyers, sellers, viewers and brochure requests were all mixed together. Nobody knew exactly who you could email, so the list stayed untouched.
What we built
The list came first. We cleaned up eight years of client files and linked assignments to the right relations. Anything that couldn’t be matched with certainty went to the agent to decide. Kolibri stays the source: the engine never writes to it and tells you, per relation, what to change there.
Then the split. Past clients with an actual purchase or sale now sit apart from leads and viewers. Anyone who unsubscribes gets no more newsletters. Anyone who objects hears nothing more and drops out of every selection.
In September 2026 the first newsletter went to past clients. Value first: figures on the Delft housing market, each one sourced. Nothing went out until the agent approved it.
That same September, 3 past clients got back in touch. In previous years it averaged 1 a month, according to the agency’s own records. Email opens confirm the newsletter prompted it.
The blueprint
Clean-up and linking
The engine shows what needs doing in Kolibri: unsubscribes, objections, expired retention periods, addresses with a typo and names that don’t match the email address. Clients are linked to relations by name. You decide the uncertain cases, and your choices survive the next import.
Segmentation
Past clients with an actual purchase or sale sit apart from leads. Only they get the newsletter, with an unsubscribe link in every email. Unsubscribing stops the newsletter. An objection stops everything, selections and research included. The log shows what was handled, when and by whom.
Newsletter
A newsletter that gives something first: local housing figures, each one sourced, and news from the agency’s own listings. It goes out in batches. Too many bounces or complaints and sending pauses by itself.
Human approval
Nothing goes out until the agent taps Approve, in the app or through a one-time link on the phone. A personal email becomes a draft in Outlook. The system never sends it on its own.
What else is in the system
The engine also tracks occasions, such as a home anniversary or a house sold nearby, and drafts a personal email for them. AI helps with the writing. The result above came from the cleaned-up list and the newsletter.
